Hackathon and Event Terms

Relationship to Main Terms

These terms apply to AI BEAVERS hackathons, founder events, build nights, event programs, team submissions, public voting, judging, sponsor perks, winner pages, recaps, and event media. They supplement the main Terms of Service. If there is a conflict for an event-program flow, these event terms apply to that flow.

Code of Conduct

Event Participation

• Event details, schedules, venues, speakers, tracks, sponsors, mentors, capacity, prizes, perks, and formats may change.
• You must provide accurate registration, check-in, team, and eligibility information when requested.
• Check-in or registration through Luma, Meetup, or another platform may be required for entry, submissions, voting eligibility, or perk redemption.
• You are responsible for your own devices, accounts, code, belongings, travel, accommodation, and compliance with applicable law.
• If an event includes food, physical activity, venue access, age restrictions, photography, or security checks, additional on-site instructions may apply.

Team Submissions and Project Rules

• Submit only content, code, images, names, logos, links, and demos that you have permission to use and share.
• If event rules require work to be created during a specific timeframe, you must follow that requirement and disclose any pre-existing materials.
• Teams are responsible for coordinating permission among their members before submitting public names, links, demos, or media.
• We may reject, edit for formatting, request changes to, or remove submissions that are incomplete, unsafe, infringing, misleading, off-topic, unlawful, or inconsistent with event rules.
• Approved submissions may be shown publicly with attribution, including project name, team name, summary, links, track, ranking, winner category, images, and recap material.

Judging

• Judging criteria, tracks, prizes, shortlist processes, and scoring methods may be announced before or during the event.
• Judges, mentors, sponsors, and organizers may have conflicts, preferences, or limited review time. We aim to run a fair process but do not guarantee any specific outcome.
• We may disqualify or recategorize submissions for rule violations, eligibility issues, safety concerns, non-functioning demos, plagiarism, fraud, or missing required information.
• Unless specific event rules say otherwise, organizer decisions on eligibility, scoring, disqualification, rankings, and winners are final.

Social Voting

Some events include public voting or leaderboard features. If you vote or promote a project for voting, you agree to the following:

• One person may cast only the number of votes allowed by the event rules.
• Email verification, one-time links, duplicate checks, and fraud checks may be required.
• Votes from fake, duplicate, automated, purchased, or manipulated accounts may be invalidated.
• Vote counts, rankings, and leaderboards may be delayed, corrected, frozen, or adjusted.
• Individual voter names and emails are not displayed publicly by default.
• Aggregate vote counts, project rankings, finalist status, and winner status may be public.

Sponsor Perks, API Keys, Credits, and Prizes

• Perks, credits, API keys, subscriptions, swag, and prizes may be limited by quantity, time, geography, participant status, sponsor terms, age, export controls, platform account requirements, and sponsor availability.
• We may require event registration email, checked-in attendee status, team information, or other verification before issuing a perk.
• Sponsors and API providers may operate their own redemption flows and apply their own terms, privacy policies, usage limits, content policies, or eligibility checks.
• We may revoke, substitute, delay, or cancel perks or prizes if a sponsor changes availability, a claim appears duplicate or fraudulent, or eligibility cannot be verified.

Public Winner Pages, Recaps, and Media

• Approved team names, project names, rankings, winner categories, summaries, images, links, screenshots, quotes, and event media may be displayed publicly.
• Event photos and videos may capture participants, teams, judges, sponsors, and audience members. Tell an organizer if you have a specific media concern.
• You grant AI BEAVERS permission to use submitted project and event content for event operations, public pages, newsletters, social posts, sponsor acknowledgements, recap content, and community archives.
• We may remove or anonymize content where feasible after a valid request, but public archives, already shared materials, legal records, and result-integrity records may remain.

External Platforms and Event Partners

Events may depend on Luma, Meetup, Stripe, sponsor platforms, API providers, venues, social networks, maps, communication tools, or other external services. Those services are operated by their own providers. AI BEAVERS is not responsible for external platform outages, eligibility decisions, account requirements, pricing, sponsor terms, privacy practices, or content unless we expressly agree otherwise.

Changes and Cancellation

We may change, postpone, cancel, merge, split, or end an event, track, vote, perk, prize, submission window, judging process, or recap feature for operational, safety, legal, sponsor, venue, or community reasons. We will use reasonable efforts to communicate material changes through the event page, email, or community channels.
